Terms of Service
For the purpose of these terms and conditions, ‘the Committee’ refers to the individuals responsible for running Aetherica 2009; ‘the Event’ refers to Aetherica 2009; ‘the Venue’ refers to the Crowne Plaza Hotel, Chester; ‘you’ and ‘the Registrant’ refers to the individual paying for attendance at Aetherica 2009 and those guests attending at the invitation of the Committee.
- Full payment is required when registering. Your booking will not be confirmed until payment is received by us and has cleared.
- All bookings are final and non-refundable. However, registrations may be transferred at a cost not exceeding the face value.
- If for any reason beyond the control of the Committee the Event is moved or altered from that described at the time of booking, the alternative shall be deemed acceptable by the Registrant unless the change is considered by the Committee to be substantial, in which case a refund will be offered.
- Responsibility for provision of accommodation lies with the hotels concerned.
- All food and catering shall be exclusively provided by the Venue’s contractors and will be available to purchase on site. No food, beverages or intoxicating liquor purchased elsewhere shall be consumed on the premises.
- The Registrant shall be liable for any damage to the building fabric or furniture and any equipment, and shall pay on demand the amount required to remedy such damage.
- The Committee accepts no responsibility for the property of Registrants or for any injury, howsoever arising, unless caused by the negligence of the Committee. Furthermore, the Committee shall not be responsible for any interruption to the event caused by breakdown of machinery, failure of supply of electricity or water, fire, riot, terrorist activity, government restriction or act of God.
- Public Liability Insurance will be provided by the venue for the duration of the event. The Aetherica committee hold such Public and Employer’s Liability Insurance as is required by law for the duration of the event.
- Prices quoted on the website and in any other material produced by the Committee are valid only when published. Up-to-date pricing information and notice of the next increase will be provided on the website aetherica.org.
- The Committee reserves the right to refuse entry to any Registrant who disrupts the event or otherwise causes it to be brought into disrepute. While debate is accepted and encouraged, any Registrant acting in an abusive fashion to another person will be asked to leave and will not be reimbursed.
- Any Registrant aged under eighteen years at the start of the event must be accompanied by a parent or guardian at all times.
